  • Profile information: Age, grade level, and school affiliation for volunteer accounts.
  • Parent or guardian contact: For users under 18, we collect a parent or guardian name and email address for consent purposes.
  • Service hours data: Volunteer hours submitted, including event name, date, duration, and description.
  • Event attendance: Records of events a volunteer registered for or attended.
  • Organization information: For organization admin accounts, we collect organization name, type, and contact information.
  • Usage data: Log data such as IP address, browser type, and pages visited for security and analytics purposes.

3. How We Use Your Information

We use the information we collect to:

  • Operate and maintain the volunteer management platform.
  • Enable organizations to manage volunteer rosters and track service hours.
  • Send transactional notifications such as event confirmations, reminders, and hours approval or rejection notices.
  • Generate reports for organizations on volunteer participation and hours totals.
  • Facilitate the parent or guardian consent process for minor volunteers.
  • Improve the platform through aggregated, anonymized usage analytics.
  • Comply with applicable legal obligations.

4. How We Share Your Information

We do not sell, rent, or trade your personal information to any third party. Information sharing is limited to the following:

  • Your organization admin: Volunteer profile data, hours records, and event attendance are visible to the admin of the organization you are enrolled in. This is necessary for the platform to function.
  • Service providers: We use trusted third-party services (such as hosting and email delivery providers) that process data on our behalf under strict data processing agreements.
  • Legal requirements: We may disclose information if required to do so by law or in response to a valid legal request.

We do not share your personal information with any other organizations, advertisers, or data brokers.

5. Privacy of Minors (COPPA)

VolunTEEN Hours is designed for use by teenagers aged 12 and older. We take the privacy of minors seriously and comply with the Children's Online Privacy Protection Act (COPPA).

  • We collect personal information from users under 13 only with verifiable parental consent, which is required as part of the registration process.
  • When a volunteer account is created for a user under 18, we collect parent or guardian contact information and obtain consent before the account is activated.
  • Parents or guardians may review, request changes to, or request deletion of their child's personal information by contacting us at privacy@volunteenhours.com.
  • We do not use minor users' data for marketing or advertising purposes.
  • Organization admins who enroll minor volunteers are responsible for ensuring they have appropriate authority to do so and for complying with applicable laws.

6. SMS and Text Message Communications

VolunTEEN Hours may send transactional SMS text messages to users who provide a mobile phone number and opt in to SMS communications at registration. SMS messages are used solely for the following purposes:

  • Event signup confirmations
  • Event reminders
  • Service hour approval or rejection notifications

Consent: By providing your mobile phone number and checking the SMS consent box at registration, you agree to receive text messages from VolunTEEN Hours. Consent is not a condition of using the platform.

Opt-out: You may opt out of SMS messages at any time by replying STOP to any message. After opting out, you will receive a single confirmation message and no further SMS will be sent. To re-enable SMS, contact us at privacy@volunteenhours.com.

Message frequency:Message frequency varies based on your event activity. Typical users receive 1–3 messages per event.

Rates: Message and data rates may apply depending on your mobile carrier and plan.

Data sharing: Your mobile phone number may be shared with our SMS delivery provider (Brevo) solely for the purpose of delivering messages on our behalf. We do not share phone numbers with any other third parties or use them for marketing.

Minor users: For volunteers under 18, SMS consent must be provided by a parent or guardian. We do not send marketing messages to minor users.

7. Data Retention

We retain your account and service hours data for as long as your account is active or as needed to provide services. If you request deletion of your account, we will delete your personal information within 30 days, except where retention is required by law. Aggregated, anonymized data may be retained indefinitely for analytics purposes.

8. Data Security

We implement industry-standard security measures including encrypted data transmission (TLS), hashed passwords, and access controls. No method of transmission over the internet is 100% secure, but we take reasonable steps to protect your information.

9. Your Rights

You have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your account and associated data.
  • Withdraw consent for data processing where consent is the legal basis.
