3. How We Use Your Information

We use the information we collect to:

  • Operate and maintain the volunteer management platform.
  • Enable organizations to manage volunteer rosters and track service hours.
  • Send transactional notifications such as event confirmations, reminders, and hours approval or rejection notices.
  • Generate reports for organizations on volunteer participation and hours totals.
  • Facilitate the parent or guardian consent process for minor volunteers.
  • Improve the platform through aggregated, anonymized usage analytics.
  • Comply with applicable legal obligations.

4. How We Share Your Information

We do not sell, rent, or trade your personal information to any third party. Information sharing is limited to the following:

  • Your organization admin: Volunteer profile data, hours records, and event attendance are visible to the admin of the organization you are enrolled in. This is necessary for the platform to function.
  • Service providers: We use trusted third-party services (such as hosting and email delivery providers) that process data on our behalf under strict data processing agreements.
  • Legal requirements: We may disclose information if required to do so by law or in response to a valid legal request.

We do not share your personal information with any other organizations, advertisers, or data brokers.

5. Privacy of Minors (COPPA)

VolunTEEN Hours is designed for use by teenagers, often under the age of 13. We take the privacy of minors seriously and comply with the Children's Online Privacy Protection Act (COPPA).

  • We do not knowingly collect personal information from children under 13 without verifiable parental consent.
  • When a volunteer account is created for a user under 18, we collect parent or guardian contact information and obtain consent before the account is activated.

  • We do not use minor users' data for marketing or advertising purposes.
  • Organization admins who enroll minor volunteers are responsible for ensuring they have appropriate authority to do so and for complying with applicable laws.

6. Data Retention

We retain your account and service hours data for as long as your account is active or as needed to provide services. If you request deletion of your account, we will delete your personal information within 30 days, except where retention is required by law. Aggregated, anonymized data may be retained indefinitely for analytics purposes.

We implement industry-standard security measures including encrypted data transmission (TLS), hashed passwords, and access controls. No method of transmission over the internet is 100% secure, but we take reasonable steps to protect your information.
